Pathway Hockey is committed to protecting your privacy and the privacy of minor participants in our programs. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in accordance with Alberta’s Personal Information Protection Act (PIPA), Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and Canada’s Anti-Spam Legislation (CASL).
1. About This Policy
This Privacy Policy applies to Pathway Hockey (“we,” “us,” or “our”), which organizes and operates youth ice hockey events in Alberta, Canada, including the Pathway Hockey Tournament and the Origins Girls Hockey Showcase (collectively, “Events”).
This Policy governs the personal information we collect from parents, legal guardians (“Guardians”), participants, coaches, volunteers, and visitors to our website and digital platforms. By registering for or participating in any Pathway Hockey Event, or by using our website, you consent to the practices described in this Policy.
Because our programs serve minor participants (under 18 years of age), we are especially careful about collecting, handling, and protecting information about children. All personal information about minor participants is collected from and managed through their parent or legal guardian.

3. Personal Information We Collect
We collect personal information that is necessary for the purposes of organizing and administering Events, ensuring participant safety, and communicating with Guardians. The types of information we may collect include:
3.1 Guardian and Contact Information
- Full name and relationship to the participant
- Mailing address, city, and province
- Email address and telephone number
- Emergency contact information
3.2 Participant Information
- Full name and date of birth
- Division and age category
- Hockey Canada / Hockey Alberta registration number
- Team and association affiliation
- Jersey number and position
3.3 Health and Safety Information
- Known medical conditions, allergies, or physical limitations relevant to participation
- Emergency medical authorization preferences
We collect health information only where it is necessary to protect the safety of the participant and other individuals at our Events. This information is handled with heightened confidentiality.
3.4 Payment Information
- Registration fee payment records
We do not store full credit card or banking details on our systems. Payment transactions are processed through third-party payment processors who maintain their own privacy and security standards.
3.5 Communications and Consents
- Records of consent provided for electronic communications, media use, and data collection
- Email correspondence and inquiry records

- Photographs and video footage of participants captured during Events
- Images or videos provided by Guardians or obtained from publicly available sources such as websites and social media platforms

4. How We Collect Personal Information
We collect personal information in the following ways:
- Directly from Guardians through registration forms, consent forms, and correspondence
- From team managers, coaches, or association administrators submitting rosters on behalf of participants
- Through our website and digital registration platforms
- By capturing photographs and video footage at Events
- From publicly available sources including social media platforms, where Guardians have posted or tagged content related to Pathway Hockey activities
We do not collect personal information by deceptive or unauthorized means, and we collect only what is reasonably necessary for the identified purposes.
5. Purposes for Collecting Personal Information
Pathway Hockey collects and uses personal information for the following purposes:
5.1 Event Administration
- Processing registrations and managing participant rosters
- Scheduling games, ice allocations, and tournament logistics
- Verifying player eligibility and association registration
- Administering refunds and registration changes
5.2 Participant Safety
- Ensuring appropriate supervision and safety measures are in place
- Communicating medical or emergency information to first responders or medical personnel when required
- Contacting Guardians in the event of an incident or emergency
5.3 Communications
- Sending Event confirmations, schedule updates, and operational notices
- Delivering newsletters, promotional updates, and information about future Events, where consent has been provided
- Responding to inquiries and feedback
5.4 Marketing and Promotion
- Using participant names, photographs, and video footage for promotional, marketing, and communications materials, in Canada and internationally, where consent has been provided
- Publishing content on our website, social media channels, and print materials
5.5 Legal and Regulatory Compliance
- Meeting obligations under applicable Alberta and federal law
- Maintaining records as required for insurance, liability, and dispute resolution purposes
6. Legal Basis for Processing
Under Alberta’s Personal Information Protection Act (PIPA) and PIPEDA, we rely on the following bases for collecting, using, and disclosing personal information:
- Consent — express or implied consent provided by the Guardian at the time of registration or through separate consent mechanisms
- Contractual necessity — information required to deliver the Event services for which the Guardian has registered
- Legal obligation — information required to comply with applicable law
- Legitimate interest — where the collection is reasonably necessary for our operational purposes and the individual’s privacy interests are not overridden
Where we rely on consent, you have the right to withdraw consent at any time (see Section 9). Withdrawal of consent may affect our ability to provide certain services.
7. Disclosure of Personal Information
Pathway Hockey does not sell personal information. We may share personal information in the following limited circumstances:
7.1 Service Providers
We may share personal information with trusted third-party service providers who assist us in operating our Events and digital platforms, including:
- Registration and league management platforms (e.g., Kreezee or similar platforms)
- Payment processors
- Email marketing platforms
- Website hosting and analytics providers
These service providers are contractually required to protect personal information and to use it only for the purposes for which it was shared.
7.2 Hockey Governing Bodies
We may share participant registration information with Hockey Alberta, Hockey Canada, or other applicable governing bodies for the purposes of eligibility verification and compliance with association rules.
7.3 Emergency Services
In the event of a medical emergency, we may disclose relevant health and contact information to emergency responders, medical professionals, or other authorities as necessary to protect the health and safety of the participant.
7.4 Legal Requirements
We may disclose personal information where required or permitted by law, including to comply with a court order, subpoena, or lawful request from a government authority.
7.5 Business Transfers
In the unlikely event that Pathway Hockey undergoes a restructuring, merger, or transfer of operations, personal information may be transferred as part of that transaction, subject to the same privacy protections described in this Policy.
We do not disclose personal information to any other third parties without the express consent of the Guardian.
8. Privacy of Minor Participants
The privacy and safety of minor participants is a top priority for Pathway Hockey. All of the following practices apply specifically to the protection of information about children under 18 years of age:
- All personal information about minor participants is collected through and with the consent of a parent or legal guardian
- We do not knowingly collect personal information directly from minors without Guardian consent
- We take additional care in the storage, handling, and disclosure of information about minors
- Media consent for minor participants is obtained through the Guardian as part of the registration and consent process
- Guardians may request access to, correction of, or deletion of their child’s personal information at any time by contacting us
If we become aware that personal information about a minor has been collected without appropriate Guardian consent, we will take immediate steps to delete such information.
9. Your Privacy Rights
Under PIPA (Alberta) and PIPEDA, Guardians (and, where applicable, participants who are 18 or older) have the following rights regarding their personal information:
9.1 Right of Access
You have the right to request access to the personal information we hold about you or the participant. We will respond to access requests within 30 days, or notify you if additional time is required, in accordance with PIPA.
9.2 Right of Correction
You have the right to request correction of any personal information that is inaccurate, incomplete, or outdated. We will correct or annotate the information as appropriate and notify any third parties to whom the information was disclosed, where feasible.
9.3 Right to Withdraw Consent
You may withdraw consent for non-essential purposes (including marketing communications and media use) at any time. To withdraw consent:
- For email communications: click the unsubscribe link in any Pathway Hockey email, or contact us directly
- For media use: submit a written request to our Privacy Officer
Please note that withdrawal of consent will not affect activities already completed, and that certain communications (such as safety and operational notices) may continue as necessary for the administration of Events in which the participant is already registered.
9.4 Right to Lodge a Complaint
If you believe your privacy rights have been violated, you may contact us directly to resolve the matter. You also have the right to lodge a complaint with the Office of the Information and Privacy Commissioner of Alberta (OIPC):

10. Retention and Deletion of Personal Information
We retain personal information only as long as necessary to fulfill the purposes for which it was collected, or as required by law. Our general retention practices are as follows:
- Registration and roster information: retained for a minimum of two (2) years following an Event for insurance, dispute resolution, and compliance purposes
- Financial and payment records: retained for a minimum of seven (7) years in accordance with applicable tax and accounting obligations
- Health and emergency information: retained for the duration of the participant’s involvement in Pathway Hockey Events, then securely deleted
- Marketing consent records: retained for as long as consent remains active, and for a reasonable period thereafter as proof of consent
- Media content: retained indefinitely unless a Guardian submits a removal request, which we will honour to the extent reasonably practicable
When personal information is no longer required, we destroy or de-identify it securely using methods appropriate to the format in which it is stored.
11. How We Protect Your Information
Pathway Hockey uses reasonable physical, administrative, and technical safeguards to protect personal information from unauthorized access, use, disclosure, copying, modification, or destruction. Our security measures include:
- Restricted access to personal information on a need-to-know basis
- Use of password-protected systems and platforms
- Secure third-party platforms for registration and payment processing
- Training of volunteers and staff on privacy obligations
While we take reasonable steps to protect your information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security and encourage Guardians to take steps to protect their own account credentials and personal information.
In the event of a privacy breach that creates a real risk of significant harm, we will notify affected individuals and the Office of the Information and Privacy Commissioner of Alberta as required under PIPA.
12. Cookies and Website Analytics
Our website may use cookies and similar tracking technologies to improve user experience and gather analytics information about website usage. Types of cookies we may use include:
- Essential cookies — necessary for the website to function properly
- Analytics cookies — used to understand how visitors interact with our website (e.g., Google Analytics)
- Preference cookies — used to remember your settings and preferences
You may configure your browser to refuse cookies or to alert you when cookies are being sent. Disabling cookies may affect the functionality of certain parts of our website.
We do not use cookies for targeted advertising, nor do we sell cookie or tracking data to third parties.
13. Electronic Communications and CASL Compliance
Pathway Hockey complies fully with Canada’s Anti-Spam Legislation (S.C. 2010, c. 23) (CASL). We will only send commercial electronic messages (CEMs) to individuals who have provided express or implied consent as defined by CASL.
Each CEM we send will:
- Clearly identify Pathway Hockey as the sender
- Include our contact information
- Contain a clear and functional unsubscribe mechanism
Consent records are maintained and unsubscribe requests are processed within ten (10) business days. Transactional and relationship messages (such as registration confirmations, safety notices, and schedule updates) may be sent without express marketing consent, as they are necessary to the administration of Events.
14. Photography, Video, and Media
With the consent of the Guardian provided at the time of registration, Pathway Hockey may capture, use, and publish photographs and video footage of participants for promotional, marketing, and communications purposes, in Canada and internationally, without compensation.
Permitted uses include website content, social media posts, print materials, video content, and media releases. Pathway Hockey may also use images and video obtained from publicly available sources, including social media platforms, where such content depicts participants in connection with Pathway Hockey activities.
Guardians who do not wish to grant media consent, or who wish to revoke previously granted consent, must notify Pathway Hockey in writing. We will make reasonable efforts to honour revocation requests but cannot guarantee removal of content already published on third-party platforms. Revocation does not affect uses of content that occurred prior to the request.
15. Third-Party Websites and Platforms
Our website and communications may contain links to third-party websites or platforms (such as Hockey Canada, Hockey Alberta, arena websites, or social media platforms). This Privacy Policy does not apply to those third-party sites, and Pathway Hockey is not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.
16. Cross-Border Data Transfers
Some of the third-party service providers we use (such as cloud-based registration, email, and analytics platforms) may store or process personal information on servers located outside of Alberta or outside of Canada. Where this occurs, your personal information may be subject to the laws of the jurisdiction in which it is stored, which may differ from the laws of Alberta.
We take reasonable steps to ensure that any such service providers maintain appropriate privacy and security protections, and we contractually require them to handle personal information in accordance with applicable Canadian privacy law.
17. Changes to This Privacy Policy
Pathway Hockey may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or operational circumstances. We will post the updated Policy on our website and update the Effective Date at the top of this document. Where changes are material, we will notify registered Guardians by email.
Continued participation in Pathway Hockey Events following the posting of an updated Privacy Policy constitutes acceptance of the revised terms.
